The V-Desk leave management programme helps the employer to implement leave planning in the organisation correctly, saving time and money, and then to supervise and modify the entire process if necessary. The traditional leave file can be successfully replaced by our tool. The leave and absence management module allows you to create a leave schedule to determine how employees are accrued and granted time off.

Employee time records are the responsibility of the employer. If it is kept correctly in the V-Desk system, you are assured that it is kept in accordance with the law.

The V-Desk system stores all timekeeping information and makes it available to the relevant people in a secure cloud.

In the V-Desk system, everything goes to the electronic desk of the person who can approve the employee’s time records with a single click.

How does the leave request workflow work step by step?

In the Leave module, employees submit requests via browser or mobile device in just a few moments. The system automatically fills in data from the employee card, suggests the correct type of leave, and shows the current balance of available days. The request then goes to the manager’s electronic desk, where it can be approved, rejected, or returned for completion with a comment. After the manager’s decision, the information is immediately visible in the leave schedule, and HR receives complete data without manual entry or additional correspondence.

Additionally, the module allows you to: set substitutes during absence and delegate tasks to the appropriate people, enable email notifications for new requests and changes in the schedule, and generate reports for HR and managers (e.g., outstanding leave, quota usage, team absences).

This makes leave management a transparent process that no longer blocks work and can be easily integrated with ERP or payroll systems. Every decision and change has its history, so in case of an audit, you can quickly reconstruct the approval process for the entire organization. Permissions are role-based, and data is stored securely in the cloud, reducing the risk of lost documents and errors in working time records.

The Holidays module is available in both V-Desk deployment models. It can be configured in a dedicated version of the V-Desk system and can also be selected from the ready-made V-Desk GA processes.

Is it possible to generate reports in the system?

Yes. The electronic leave management module in the V-Desk system is equipped with a report generator.

Does the employee have access to holiday plans?

Yes. A clear leave schedule is available to the employee.

Does the employee have access to information on remaining days off?

Yes. The V-Desk is equipped with a tool for the automatic calculation of accrued days off.

Does the system distinguish between different types of leave?

Yes. The V-Desk system can be used to apply for leave: annual leave, special leave, leave for a child under 14, childbirth leave, training leave, health leave. 

Can the V-Desk system be integrated with other systems?

Yes. The most commonly used systems are ERP systems. The information collected in the leave management programme, during document processing, can be used and passed on to the systems handling HR and payroll areas.

Can the leave request approval workflow be defined?

Yes. In the Leave module, you can set defined workflow paths (e.g., approval by the direct manager, then HR) and assign responsibilities for tasks. This ensures requests reach the correct people and decisions are made faster and in an orderly manner.

Does the system handle substitutes during employee absence?

Yes. You can assign a substitute during leave or absence. Information about the substitute is visible in the process, which helps organize work and reduces the risk of bottlenecks in task execution.
