Autostrada Wielkopolska SA is a concession company responsible for the construction and exploitation of the Swiecko- Konin A2 Motorway, 255 km long (158.45 mi.) The concessive section of A2 Motorway is an integral part of Autostrada Wolności (Freedom Motorway) which connects Polish Republic with the western European net of motorways.

“It’s construction, servicing and exploitation of the concessive stretches of A2 Motorway that we are responsible for. With the due respect to the law, according to the regulations, and in order to provide the highest quality services, security of transport, travel and with the respect of natural environment.”’”- says Anna Ciamciak, PR and communication manager in Autostrada Wielkopolska SA.

It’s dynamic growth lead Autostrada Wielkopolska to a point when it faced the necessity to streamline their business processes and transform to a digital document workflow system. This is the moment when the V-Desk system emerges.

“Our goal was to streamline document workflow in the company. We were searching the market for an application that would be easy to use, ergonomic and flexible in terms of the further development. We had three products on the table. After short negotiations and business talks we finalised the deal with Primesoft. What was the key factor? First of all, system’s flexibility, OCR-search functionality and fast time of implementation, which took place in five month time after the contract was signed.”- explains Paweł Janczak, IT project manager in Autostrada Wielkopolska SA.

The V-Desk system is used by the employees of Autostrada Wielkopolska in Invoicing, Correspondance (Mail room), Business Trips clearance, work time reporting or leave requests. That is not all. There was a point when the company faced the issue how to manage large contracts.

“We were looking – with no results – for an application on the market that could meet our requirements in a 100%. We wanted the system to be as simple as possible and we wanted the users to be already familiar with it. We established the talks with Primesoft on how to introduce the new functionalities of a contract management in the V-Desk system. Implementation of a dozen of processes of card management, creation of post construction documentation. After the agreement was signed we implemented the system as an independent platform with an open access to our subcontractors, independent engineers an other external parties.”- says Paweł Janczak.

And this is how this bespoke application was designed for us. It significantly improves exchange of information between four parties: Autostrada Wielkopolska as an investor, the independent engineer, on site inspector and the contractor.

“All were enthusiastic about the application itself. What we gain from it? First of all we receive the information in no time. It means that process of information exchange is significantly faster. What is more we became more environment friendly as we stopped printing, producing paper documents, we do not transport documents no more, no paper signing, scanning so the time a person needs to produce all these documents is shorter and what is more all parties involved receive the information in the same moment.”-says Marcin Szczepański, board member in Autostrada Wielkopolska SA
